Christmas on the Square 2026 Vendor Booth Application

Use this form to apply for a booth. If your application is approved, you will receive an email with an invoice and payment link.

 

Submitting an application does not guarantee a booth.

Your booth is not reserved until payment is received.

 

Payment is due within 7 days of the invoice date (and no later than 11/1/2026). If payment is not received by the deadline, the booth will be forfeited.

Vendor Fee

$250 flat fee (covers all event days)


 

Cancellation / Refund Policy

  • Cancellations made more than 30 days before the reservation: 50% of the vendor fee is forfeited.

  • Cancellations made within 15 days of the reservation: 100% of the vendor fee is forfeited.

  • Refunds will be subject to processing fees.


 

Check-In / Arrival

  • Vendors must check in at the Okmulgee Main Street Information Booth on 6th Street before unloading or setting up.

  • Please arrive during your assigned load-in window. A staff member will confirm your booth assignment and direct you to the correct location.

  • For safety and traffic flow, vehicles may unload only in designated loading areas and must be moved immediately after unloading.

  • If you arrive late, your setup time may be limited to keep the event on schedule.

 


What to Bring

  • Your invoice/payment receipt (email screenshot is fine)

  • Your Oklahoma Sales Tax Permit information (or the required tax form, if applicable)

  • Any required permits or licenses for your products (if applicable)

  • Booth setup materials: canopy/tent, tables, chairs, table coverings, signage, pricing, lighting (if permitted)

  • Tent weights (if using a canopy) and zip ties/bungee cords

  • Extension cords and power strips

  • Trash bags and basic cleaning supplies for your space

  • Weather gear: layers, rain cover, clips, heaters only if approved

  • Payment tools: change, card reader, charging bank, receipts


 

Safety & Site Rules

 

  • Keep all items within your booth footprint. Maintain clear walkways and do not block entrances, ADA paths, or fire lanes.

  • No open flames or cooking equipment unless approved and permitted.

  • All electrical cords must be secured and taped down where they cross public areas. Use outdoor-rated cords when applicable.

  • Canopies must be properly weighted at all times. The vendor is responsible for securing displays against wind.

  • Vendors are responsible for keeping their area clean and removing trash to designated receptacles.

  • Okmulgee Main Street reserves the right to require changes to any setup that creates a safety hazard.

The event runs rain or shine.


 

Vendor Terms & Agreement

 

By submitting this form, I certify that:

  1. My business will keep the booth set up each day of the event and will operate for the full duration of open hours.

  2. I will follow all vendor rules, load-in/load-out instructions, fire lane requirements, and any safety guidance provided by event staff.

  3. I understand booth placement and layout are determined by event management and may be adjusted for safety or logistics.

  4. I will not share, transfer, or sublet my booth space without written approval from event management.

  5. I will keep my booth area clean and will dispose of trash in designated locations.

  6. I am responsible for my own property, equipment, cash, and inventory. I understand that Okmulgee Main Street, the City of Okmulgee, and anyone associated with hosting this event are not liable for lost, stolen, or damaged products, equipment, or personal items.

  7. I am responsible for complying with all applicable laws and requirements, including any required permits and sales tax obligations. I will complete the sales tax form provided when the booth reservation is finalized (or as directed by event staff).

  8. I agree to hold harmless and indemnify Okmulgee Main Street, the City of Okmulgee, and event partners/volunteers from claims, damages, or losses arising from my business operations, products, or staff while participating in the event.


 

Electricity / Equipment (if applicable)

 

  • If electricity is requested/approved, I agree to use safe, outdoor-rated cords and equipment and to follow event power limits and instructions.

  • Generators, open flames, heaters, or other restricted equipment are allowed only if explicitly approved in advance.

Checks must be delivered to Debbie Haynes at Okmulgee Main Street 10 days before date of rental.
